Carthage has reviewed existing policies and practices related to the financial management of our J-Term study tours. As a result of this review, here are some important updates:
We have formalized and updated the key dates and payment schedule as follows:
For all Study Tours, regardless of when they travel:
Students are required to make a $500 non-refundable deposit to reserve a spot once an application to the study tour has been accepted. Participation in any study tour requires that a student be and remain in good academic, disciplinary, and financial standing; maintain consistent and timely communication with the program leaders; and engage fully with all pre-departure programming. Failure to do so may result in the student’s removal from the study tour, which could carry financial consequences.
Note: There is a 2.85% administrative fee included in the program cost for each J-Term study tour. This fee is non-refundable.
For January travel:
Students who seek to withdraw or cancel between September 1 and November 30 will be responsible for all non-recoverable costs in addition to their non-refundable deposit. Students who seek to withdraw or cancel on or after December 1 will be responsible for the full cost of the study tour and will receive no refunds of the program cost.
For Summer travel:
Students who seek to withdraw or cancel between February 1 and April 30 will be responsible for all non-recoverable costs, in addition to their non-refundable deposit. Students who seek to withdraw or cancel on or after May 1 will be responsible for the full cost of the study tour and will receive no refunds of the program cost.
Because of the uncertainty around travel, Carthage can no longer assume the sole financial risk of refunding 100 percent of student fees if the College is forced to cancel a study tour. Therefore, Carthage now strongly recommends that all participants in off-campus programs purchase Cancel For Any Reason (CFAR) travel insurance. This insurance is designed to protect your investment in the event you are unable to participate in the intended program. Most CFAR policies will cover up to 75 percent of unrecovered costs. In the event that the College is forced to cancel a study tour, Carthage is committed to covering the remaining unrecovered expenses, excluding fees, (up to 25 percent of the total cost of the study tour). Thus, with the purchase of this insurance coverage, students would recoup nearly the full extent of their travel costs.
While Carthage does not require the use of a specific insurance agency or provider, the College has reviewed policies from several reputable insurance companies that offer this form of coverage at reasonable rates, such as Cultural Insurance Services International (CISI). CFAR insurance premiums are typically between six and eight percent of the total program cost and must be purchased individually and directly from an insurance provider within 21 days of the initial deposit payment. This cost is in addition to the direct travel costs associated with our J-Term programs.
Note: CFAR insurance is not automatic and is considered an “opt-in” coverage, so you will need to click a box (if purchasing online) or clearly communicate your desire to purchase CFAR if working with an agent.
All participants will now be required to provide proof of insurance as part of the documentation required for their chosen Study Tour. If a participant elects not to purchase CFAR insurance, they will be required to complete the Insurance Release of Liability document.
Participants on J-Term study tours and other study abroad experiences are expected to abide by the rules and requirements of the countries visited, including entry requirements, which may include vaccinations against one or more illnesses.
Tuition varies depending on several factors, including whether you are a full-time or part-time student, and how many J-Term courses you have taken:
Full-time, full-year students: For students who attend Carthage full-time in both the fall and spring terms, two on-campus J-Term courses are included as part of your tuition for four years. Students taking a third or fourth on-campus J-Term will be charged at the per-credit rate. Study tour costs vary.
Part-time and single-term students: Students who attend Carthage part-time or for a single term (fall or spring) who wish to take a J-Term course on campus or participate in a study tour will be billed for tuition at the part-time per-credit-hour rate and for the study tour and/or material costs.
All students are responsible for their J-Term course material costs and/or other course activity fees.
Students living on campus during J-Term will be charged a housing fee. This includes students enrolled in a course, engaged in student teaching, participating in athletics, working on campus, or completing an internship. Students participating in a study tour or required to remain on campus for athletic practices or competitions will be charged a prorated housing fee based on the number of days they are required to be on campus. For additional information, please consult your study tour professor or coach.
A meal plan is not included with the J-Term housing fee. Students can choose to purchase blocks of meals during J-Term. These blocks of meals are available to both residential and commuter students, as well as other students who are on campus during J-Term, such as student-athletes and student workers.
